Notes

DEPOSITS AND PAYMENTS: To guarantee your reservation, a REFUNDABLE deposit of $200 ($500 spring break)  is due upon booking the reservation if booking 30 days or less of arrival date.  If travel insurance is purchased, the travel insurance amount is also due at time of booking.  If booking the reservation 30 days or less, the deposit and full payment for room will be due at the time of booking.  If booking more than 30 days prior to the  arrival date,  the deposit is due within 7 days.  Final payment is due 30 days prior to arrival.   If paying deposit by check, the payment is due within 7 days of making the reservation.  If the payment is not received within the 7 days, the reservation will be cancelled automatically and a cancellation notice emailed.  If final payment is not paid by due date the reservation will be cancelled and deposit paid will be forfeited and cancellation notice emailed.

METHODS OF PAYMENT: We accept Visa, MasterCard, Discover, cashier's check, money order and personal checks. All payments must be in U.S. Dollars.  There is a 3.5% credit card processing fee if paying either the deposit or rent by credit card. No processing fee is charged if paying by cashier's check, money order or personal check.   All personal checks, money orders or cashier's checks must be made payable to H2O Vacation Rentals.  PERSONAL CHECKS MUST BE RECEIVED 45 DAYS PRIOR TO ARRIVAL TO ALLOW TIME FOR OUR ACCOUNTING PROCESS.

CANCELLATION POLICY: Cancellations and/or changes must be submitted in writing and received no less than 30 days prior to the arrival date to avoid forfeiture of all monies paid. We highly recommend purchasing CSA Vacation Travel Insurance (NON-REFUNDABLE and NON-TRANSFERABLE) to avoid losing your vacation investment due to unforeseen cancellations. You may purchase vacation rental insurance at the time you make this reservation or call the office to purchase it at a later date.  If you pay by credit card, the processing fee of 3.5% is NON-REFUNDABLE, even if cancelled more than 30 days prior to arrival, and becomes the cancellation fee. 

REFUNDS: NO REFUNDS will be made due to inclement weather, early departure or no shows.  Evictions will receive no refund either, including the deposit.

CHECK-IN: 4:00 p.m. CST, 5:00 pm CST during Spring Break, (unless prior arrangements have been made and agreed to in writing). If an early check-in is available a $75.00 fee per unit will be charged. No Check-in will be permitted until your rental account has been paid in full including all taxes and fees. Every effort is made to ensure units are ready by check-in time, but we cannot guarantee the exact time of occupancy due to unforeseen circumstances. All guests will receive a confirmation of the key code and directions to your vacation unit prior to your arrival. If staying at the Summit Condominiums, DO NOT check-in at the front desk, as we have checked you in prior to your arrival and have already paid your registration fee.  If you check-in at the front desk, YOU WILL NOT BE REFUNDED the $16.89 Registration fee ($39.42 Spring Break), that you already paid us or the front desk.

CHECK-OUT: 10:00 a.m. CST., 8:00 a.m. CST Spring Break. Late Check-outs may be requested in advance and must be approved prior to the day of your arrival. A $75.00 ($100 Spring Break) fee per hour will be charged for all departures after 10:00 a.m, 8:00 am CSTSpring Break. NO EXCEPTIONS.

RATES: Rates, fees and taxes are subject to change until reservation is confirmed.  Fees such as registration fees and any other fees that are paid to another entity are subject to change up to the arrival date and is out of our control.

AGE RESTRICTIONS: The Registering Guest must be at least 21 years of age and will be held responsible for all other parties and/or guests of the Registering Guest for compliance with this reservation. Additionally, Registering Guest for the unit must be an occupant of the unit for the entire length of stay. NO EXCEPTIONS.

OCCUPANCY RESTRICTIONS: Use and occupancy of the Property is limited to the named Guest(s). The maximum occupancy limit is six (6) people for one (1) and two (2) bedroom condominiums and eight (8) people for three (3) bedroom condominiums, unless otherwise stated. The occupancy limit is the limit of Guests allowed in the unit. Occupancy exceeding this limit as listed above will result in immediate eviction and forfeiture of all amounts paid. If you are planning on having more guests than the maximum guest limits listed above, you will need to receive prior consent from H2O Vacation Rentals before finalizing your booking arrangements.

PETS: NO PETS shall be allowed on the Premises. Your breach of this provision shall be considered material, and shall result in the termination of your tenancy and forfeiture of all monies paid. NO EXCEPTIONS.

AMENITIES: Each of our properties is individually owned and reflects the tastes of the owner. We do our best to accurately describe each unit and its amenities prior to booking, but cannot be held responsible if guests are dissatisfied with the accommodations. While many of our units have washers and dryers, not all of them do.  There will be NO REFUNDS OR REBATES in the event you book a room without a washer/dryer or a washer/dryer should break down and not be fixed prior to your arrival, as this is out of our control. If you have any questions about the property amenities, please call our office at (850) 708-1681 and we will gladly discuss them with you.

VACATION RENTAL INSURANCE: H2O Vacation Rentals partners with CSA Insurance Services to offer our guests Vacation Rental Insurance Protection. CSA insurance is optional, but is strongly recommended. Please note that pre-existing health conditions may not be covered. If a tropical system has been named prior to your purchase of the insurance, it is not covered. No refunds will be made in the event of a mandatory evacuation if the Registering Guest does not purchase CSA insurance. For questions concerning the travel insurance, please call CSA directly at 866-298-6846. The insurance premium is NON-REFUNDABLE and NON-TRANSFERABLE. Visit our website for more information on additional services offered by CSA.

INCLUSIVE SERVICES: Rates include a one-time linen-towel setup for the standard max number of occupants (1 towel & 1 wash cloth per person). Standard Amenities are included in the rental rate. Although linens are furnished, please bring your own beach and/or pool towels, as linens are NOT to be removed from the unit. If linens are discovered missing after Check-out, the funds WILL be held from the Security Deposit for any replacement linens that must be purchased prior to the next guest's arrival. Guests will need to provide their own paper items and cleaning supplies. An initial set up of trash liners, bathroom paper and facial soap is provided. If this supply runs out during your stay, please provide your own supplies. Daily maid service is NOT INCLUDED in the rental rate. Any damages caused to said items will result in an additional charge to your credit card on file upon check-out.

CLEANING FEE: A housekeeping fee will be added to all reservations, regardless of the number of nights booked. The fee will vary depending on the size of the property and the time of the year you are visiting Panama City Beach. This is paid to outside companies for cleaning and laundry services upon departure.  If upon departure the room is left extra dirty, an additional cleaning charge will be deducted from the Security Deposit to cover additional fees charged by the cleaning and laundry service.

MAINTENANCE: Maintenance or service requests will be responded to as quickly as possible following notification. There are no rebates or refunds issued for any reason as every good faith effort is put forth to insure the property is maintained and is in good working order prior to your arrival.

PROPERTY CONDITION: All rooms of the Property should be left in the same clean condition and in good working order as the Guest(s) found it upon Check-in. The Registering Guest agrees to follow the Check-out List, which will be found in every unit at Check-in. The Registering Guest agrees to keep that part of the Property, which he/she occupies and uses, as clean and safe as the conditions of the Property permit. Additionally, the Registering Guest and his/her accompanying guests, agree not to cause unsafe and/or unsanitary conditions in the common areas and remainder of the Property that he/she uses. Guest(s) further agrees to dispose of all rubbish, garbage, and other waste in a clean and safe manner and agrees to keep all plumbing fixtures in Property in clean and sanitary condition. The Registering Guest hereby acknowledges that additional charges may apply at departure in the event the terms contained herein are not met. Guest(s) shall place ALL trash in chutes at appropriate locations on each floor or at assigned common areas.

To avoid any extra cleaning charges upon check-out, please make sure to follow the below instructions:

- Load the dishwasher with all soiled dishes and run the wash cycle. You do not have to unload them.

- Make sure all garbage is removed, including fridge/freezer items. Garbage is to be deposited in the trash chutes.

- Place all dirty towels and sheets in the bathroom/hallway floor.

- DO NOT PUT BEDSPREADS, BLANKETS OR MATTRESS PADS IN THE LINEN/TOWEL PILE.

- Check all windows and doors and make sure they are locked.

- Set A/C to 72 degrees

DOUBLE BOOKINGS: Double bookings are rare. In the event that your reservation for the premises overlaps or matches the reservation of another guest, H2O Vacation Rentals reserves the right to relocate you to a different property within our rental program or that of another company. Every reasonable effort will be made by H2O Vacation Rentals to ensure that the replacement property is comparable to the premises that you reserved. H2O Vacation Rentals shall have the sole right to select such replacement property. You will have the option to (1) accept the replacement property and pay any additional monies that are owed, as the case may be or (2) reject the replacement property and receive a refund of all rents and fees paid for the premises. You hereby agree that your choice between these alternatives will be your sole remedy for any and all damages, liability or inconvenience arising out of the double booking.

ERRORS AND OMISSIONS: H2O Vacation Rentals has taken great effort to ensure the information on our website and all of our printed material is accurate. We cannot be held responsible for errors, omissions, or changes in prices by the property owners H2O Vacation Rentals represents. All rental properties are privately owned and their furnishings vary depending upon the owner's taste. H2O Vacation Rentals cannot guarantee the presence of particular listed furnishings, because they may change from time to time depending on the owner's tastes.

FALSIFIED RESERVATIONS: Any reservation obtained under false pretense will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will NOT be permitted to check-in.

LOSS OR THEFT: H2O Vacation Rentals assumes no responsibility for any loss or theft of a guest's personal property. Always use caution and lock your doors and windows when away from the unit and while on the beach. Any found items will be held for a maximum of one week. After such time, any unclaimed items will be delivered to a local charitable organization.

CAUSE FOR EVICTION: The Registering Guest and all parties with the Registering Guest will be subject to immediate eviction from the Property if the Registering Guest or parties of the Registering Guest violate any terms of this Agreement, including but not limited to, violation of the occupancy limits, pet provision, smoking, noise ordinance or parking. In the event of eviction from the Property, the Registering Guest shall forfeit all amounts paid, including deposit, and there will be NO REFUND of money.

NOISE ORDINANCE(S): All Guests agree to respect the Noise Ordinance and to use common sense in keeping noise volume low after dark. Any police enforced actions by the City, County or Home/Condominium Association are at the sole risk and expense of the Registering Guest and may result in Excess Damage Cost and/or immediate eviction and forfeiture of all amounts paid.

ENTRY OF PREMISES: Registering Guest agrees to allow H2O Vacation Rentals employees, vendors, contractors or subcontractors access to the rental property during your stay for any reason to make repairs, improvements, care for or manage the property.

HURRICANE POLICY: Hurricanes are always a possibility on the Florida Panhandle. ONLY in the event of a mandatory hurricane evacuation of Panama City Beach and the surrounding area, will a refund be given for all days covered by the evacuation order.

INCLEMENT WEATHER/ BEACH CONDITIONS/ FLOODING/ CONSTRUCTION NOISE: Unfortunately, we cannot control inclement weather, beach conditions, and/or flooding, so there will be NO REFUNDS given due to these unexpected and uncontrollable weather events. Neither the property Owner nor H2O Vacation Rentals shall be liable for events beyond their control, which may interfere with your scheduled occupancy, including but not limited to acts of governmental agencies, fire, strikes, war, noise and/or driving inconveniences from nearby construction sites. NO REBATE OR REFUND will be offered in these circumstances.

INTERNET SERVICES: Many of our properties offer high-speed internet service for your convenience. Due to the numerous different providers and the various ages and configurations of personal computers, we cannot guarantee that you will be able to connect. We will do our best to assist you, but cannot be held responsible and NO REBATES or REFUNDS will be offered if you are unable to take advantage of this service.

TELEPHONE CHARGES: There is no charge for local telephone calls. All properties have long distance blocks. Long distance calls can be placed by either charging the long distance call to guest's home phone number or using a prepaid calling card.

POOLS AND SPAS: The property's owners association controls pool temperatures. Not all pools are heated. Neither H2O Vacation Rentals nor the property owners we represent are responsible for pool or spa temperatures, closures or malfunctions. NO CREDIT, DISCOUNT AND/OR RATE ADJUSTMENT can be granted for items mentioned above or circumstances beyond our control. There will be days when the weather conditions will not allow pool heaters to accommodate swimming and temperature recovery times will vary.

GRILLING: NO GRILLING ALLOWED - Florida Law prohibits grilling on the decks and balconies of rental properties.  However, most of the condominiums we have rentals at have grills available for use on a first come first serve basis.
